Community Partner Terms & Conditions

Community Partners agree to cooperate fully with organisers and security. Veterans Can… reserves the right to allocate stalls at its discretion and to close down any stall that does not conform to event regulations without recompense.

Community Partners may not sublet any part of their stall or trading pitch.

Community Partners must follow the event schedule outlined below and adhere to all arrival, setup, trading and departure times.

Event Schedule

Friday 24 July

14:00 – 18:00: Site available for set-up.
Camping is also available.

All stall holders, support staff and teams requiring access on Friday must obtain pre-approval from the Veterans Can… event organisers prior to arrival.

Power will be available from midday Friday.

Saturday 25 July

08:00 – 09:30: Community Partner set-up
09:30: Games brief to teams
10:00: Health & Safety inspections
10:30: Public gates open
11:00: Welcome
12:00 – 17:00: Veteran Games events
17:30: Prizes and wrap-up
17:30: Trading stalls close
18:00: Site closes to the public and clean-up begins

Vehicle movement must be kept to a minimum.
No vehicle movement is permitted between 18:30 Saturday and 07:30 Sunday.

19:00: Veterans Can… Celebrate event begins
22:30: Evening event concludes
23:00: Lights out

Sunday 26 July

07:30 – 09:00: Stall breakdown / set-down
10:00: Site inspection
12:00: Veterans Can… at Pippingford 2026 concludes

All Community Partners must vacate the site by 11:00 Sunday morning unless otherwise agreed with organisers.

Power & Equipment

No generators may be brought on site.

All traders requiring power must bring a 20 metre, 16 or 32 amp cable per feed to connect to the event distribution boards.

Power will be available from midday Friday.

Checks will be made to ensure traders are not exceeding their allocated supply. Any unauthorised connections will be permanently disconnected.

All entertainment or sound systems must be authorised by Veterans Can… prior to use.

Health & Safety Requirements

All traders must comply with all Health & Safety and Environmental Health regulations, including:

  • Adequate fire extinguishers with a current inspection date
  • Food traders must have appropriate fire blankets
  • All structures, drapes and décor must be certified fire-retardant
  • Structures must be stable, secure and safe
  • Risk assessments must be available
  • All electrical equipment must be PAT tested with current certification
  • All gas appliances must be certified by a Gas Safe registered engineer
  • Food traders must hold a valid food hygiene certificate
  • Food traders must be registered with their local authority
  • All traders must hold public liability insurance
  • All traders must have a Health & Safety policy and risk assessment
Trading Restrictions

Only approved traders/vendors are permitted to sell tobacco or alcohol.

Food and beverages may only be sold from approved food vendors, due to separate licensing and safety requirements.

Items not permitted on site include:

  • Glass containers (including alcohol containers, even for personal use)
  • Goods where duty has not been paid
  • Illegal or controlled substances
  • NOS or related paraphernalia
  • Laser pens
  • Weapons, potential weapons, or toy weapons
  • Fireworks
  • Generators
  • Unauthorised sound systems

Please respect the land and site regulations.

Environmental Policy

Food traders are requested to use biodegradable cups, plates and cutlery.

All tea, coffee and drinking chocolate sold at the event must be Fairtrade.

Single-use plastics are not permitted, including drinks sold in plastic bottles.

Site Rules

No animals are permitted on site.

Traders must keep the area around their pitch clean and free of litter.

Pitches must be left clean and cleared, and inspections will take place before any bonds are returned.

Liability

Veterans Can… will take all reasonable steps to ensure the festival goes ahead and is well attended. However, no rebates will be issued due to:

  • Adverse weather conditions
  • Acts of God
  • Low trading levels
  • Changes to performance schedules
  • Relocation of stalls
